What co-ops actually need from management software — and an honest look at the best options available.
Homeschool co-ops bring together multiple families around shared learning — a few days a week, rotating subject expertise, shared costs. But running a co-op operationally is its own job: tracking who's attending which days, collecting fees from a dozen families, sending group communications, and maintaining basic records for each student.
Most co-ops start with a group text and a spreadsheet. That works for three families. By the time you have eight or ten, it breaks down. This guide covers what software co-ops actually need and which tools are worth considering.
Flexible attendance tracking
Co-ops rarely run Monday through Friday for all students. You need software that handles students attending different days — Tuesday/Thursday for some, Monday/Wednesday/Friday for others — without requiring a workaround.
Fee collection from multiple families
Whether it's a monthly co-op fee, a materials charge, or a per-session rate, you need a way for families to pay online without you manually tracking who's paid and who hasn't.
Group and direct communication
Announcements to all families, and direct messages to individual parents when needed. Without using your personal phone number.
Basic student records
Emergency contacts, health/allergy information, and enrollment documentation for each child. Not a full SIS — just enough to know your students.
Enrollment management
A way for new families to apply to join the co-op, submit basic information, and formally acknowledge co-op policies and expectations.
Best all-in-one option
MicroCampus was built for small multi-family learning communities — microschools, learning pods, and co-ops that need more than a spreadsheet but less than a district SIS. Flexible attendance handles different student schedules natively. Stripe-integrated fee collection handles recurring and one-time payments. Built-in messaging keeps communication in one place. Starts at $24/mo for up to 15 students.
Free, flexible, requires manual work
Many co-ops use Google Sheets for attendance and Gmail for communication. It works — until it doesn't. No automated payment collection, no student profiles, no enrollment flow. As the co-op grows, the manual overhead grows with it. Still the right starting point for very new or informal co-ops.
Communication-focused, limited operations
ClassDojo is a strong communication tool and many families are already familiar with it. But it's not an operational platform — no recurring tuition collection, no attendance designed for flexible schedules, no enrollment management. Works well as a communication layer but you'll still need something else for payments and records.
For one-off payment collection only
Omella is a simple tool for collecting a payment or form response from a group. It's not a school management system. If you need to collect a single co-op registration fee from 12 families, Omella can do that. If you need ongoing attendance, messaging, and student records, it can't.
Basic small-school management
SchoolCues covers basic attendance and communication at a low price. Limited hybrid scheduling support and an older interface, but covers the fundamentals for traditional co-ops that meet on a fixed weekly schedule.
Flexible attendance for mixed schedules
Students can attend different days each week. Each student has their own schedule — attendance is tracked accordingly.
Fee collection without the chase
Families pay online. You see who's paid and who hasn't. Funds go directly to your account via Stripe.
No per-student fees
Flat monthly pricing — $24/mo for up to 15 students. No surprise charges as your co-op grows.
Parent portal for every family
Each family gets their own login to view their child's attendance, messages, and documents.
